Terms of Service

These terms govern use of the AutomationKing AI service: an AI receptionist that dental clinics use to answer patient enquiries and manage appointments over WhatsApp and website chat.
They are written to describe the arrangement that actually exists today rather than to reserve every right we might one day want. Where something is not yet settled, this document says so instead of implying otherwise.
1. Who these terms are between
AutomationKing AI operates this platform and the software described below. These terms are between us and the clinic that subscribes to the service, together with the staff who hold accounts under that clinic.
Formal business identity details are being finalised and will be published here and on our About page once settled. We would rather leave this short than state something we cannot evidence.
If you are a patient or a website visitor messaging a clinic, these terms do not create an agreement between you and us. Your relationship is with the clinic. The Privacy Policy explains how your information is handled and who is responsible for it.
2. What the service does
The service provides an assistant that answers patient enquiries and manages appointments on a clinic's behalf, over WhatsApp and over the chat widget on the clinic's website, together with a dashboard where clinic staff review conversations, appointments, patients and settings.
- The assistant answers from the information the clinic maintains: its treatments, prices, working hours, staff, policies, insurance arrangements and knowledge base.
- It books, reschedules and cancels appointments against the clinic's own availability.
- It records conversations, appointments and patient details in the clinic's own records.
- Clinic staff can read every conversation and take over at any point.
3. What the service is not
This is the most important section in this document, and it is not boilerplate.
The assistant is not a clinician and does not provide medical or dental advice, diagnosis, or treatment recommendations. It must not be used as a triage system, and it is not designed for, and must not be relied on in, an emergency. A patient with an urgent or serious concern should contact the clinic directly or their local emergency service.
The assistant answers from the information a clinic has provided. It is not a source of truth about that clinic in its own right, and it can be wrong when the underlying information is wrong, incomplete or out of date. Keeping that information accurate is the clinic's responsibility, described in section 5.
4. Accounts and access
Accounts are created for named clinic staff. Each account belongs to one clinic and gives access only to that clinic's information.
Account holders are responsible for keeping their credentials secure and for the activity that takes place under their account. Clinics are responsible for removing access promptly when a staff member leaves.
We may suspend an account, or a clinic's access, where we reasonably believe it is being used in breach of section 6, where required for security, or where a subscription is unpaid. Where we do, we will say why.
5. Clinic responsibilities
A clinic using the service is responsible for the following. These are not disclaimers of our obligations; they are the parts of the arrangement only the clinic can perform.
- Keeping its treatments, prices, working hours, availability and policies accurate. The assistant repeats what it is given.
- Obtaining any consent, and giving any notice, that its own law requires before handling patients through an automated system.
- Reviewing escalated and flagged conversations, and exercising clinical judgement where it is needed.
- Controlling its own staff accounts and removing access promptly when someone leaves.
- Complying with the WhatsApp Business messaging policies that apply to messages sent from its number.
6. Acceptable use
The service must not be used to send unsolicited bulk messages, to mislead patients about who they are talking to, to collect information under false pretences, or for any unlawful purpose.
You must not attempt to access another clinic's information, probe or interfere with the security of the service, or attempt to extract the system's underlying instructions or credentials through the assistant.
Security researchers are welcome. If you believe you have found a vulnerability, please report it to security@automationking.site rather than testing against live clinic data.
7. Information and privacy
How information is collected, used, shared and deleted is set out in our Privacy Policy, and how to ask for deletion is set out in our Data Deletion Instructions. Both form part of these terms.
For clinic customers, the clinic-facing Data Processing Agreement governs our handling of patient information on the clinic's instructions. Where that agreement and these terms differ on the handling of patient information, that agreement applies.
8. Third-party services
The service depends on third parties, including the WhatsApp Business Platform for messaging, an AI provider for generating replies, and hosting and database providers. Their availability and their own terms affect the service, and interruptions at a provider can interrupt the service.
The Privacy Policy lists the providers that handle information on our behalf.
9. Availability and changes to the service
We do not currently publish an uptime commitment or a guaranteed response time, and we would rather say so than state a figure we have not committed to operationally.
The service is under active development. Features may be added, changed or withdrawn. Where a change materially reduces functionality a clinic relies on, we will give notice to the clinic.
10. Fees, subscriptions and trials
Where a clinic subscribes to a paid plan, the fees, billing period and payment method are those presented at the point of subscription. Trials run for the period stated when the trial begins.
A clinic may cancel at any time. Cancellation stops future billing and ends access at the end of the paid period. We do not charge a cancellation fee.
11. Ending the arrangement
A clinic may stop using the service at any time. We may end a clinic's access where these terms are breached, where required for security or by law, or if we discontinue the service, in which case we will give reasonable notice.
After access ends, a clinic may ask us to export or delete its information. What can be deleted, and the small amount that is retained and why, is set out in the Data Deletion Instructions.
12. Liability
Nothing in these terms limits liability that cannot lawfully be limited, including liability for death or personal injury caused by negligence, or for fraud.
Subject to that, the service is provided as it is, and we do not give warranties that it will be uninterrupted or error-free, or that the assistant's replies will always be correct. Section 3 explains why that matters and what a clinic must do about it.
We are not liable for loss arising from a clinic's own information being inaccurate or out of date, from a clinic's failure to review escalated conversations, or from the acts of a patient or a third-party provider.
13. Governing law
The service is operated from Pakistan, and these terms are governed by the laws of Pakistan.
This section in particular should be reviewed by qualified legal counsel before being relied on, together with the note at the foot of this page.

If you are a patient of a clinic that uses our service, contacting that clinic directly is usually fastest, because the clinic controls its own records.
15. Changes to these terms
This is version 1.0, effective 2026-09-08. If we change these terms materially, we will publish a new version at this same address with a new version number and effective date, and notify clinic customers.
